This policy explains what personal data London Bicycle Hire collects when you contact us about bike hire or a guided tour, why we collect it, who we share it with, and the rights you have over it.

Who we are

London Bicycle Hire ("we", "us") is a trading name operated by Sam Austin, based in London, United Kingdom. We are the data controller for the personal data described in this policy.

What we collect

We only collect what we need to answer your enquiry and arrange your hire. In practice that means:

Delivery address (hotel, apartment or Airbnb)	To deliver and collect the bikes.
Hire details (dates, group size, rider heights, bike preferences)	To supply bikes of the right type and size, safely set up.
Your message and any correspondence with us	To keep an accurate record of what was agreed.

We do not collect payment card details through this website. We do not knowingly collect data from children; bookings involving children are made by an accompanying adult.

How we collect it

Almost all of it comes directly from you, when you email or call us. This website has no contact form and no login, so nothing is collected from you silently as you browse, beyond the limited analytics described below.

Our lawful bases

• Steps prior to a contract, and performance of a contract - handling your enquiry, arranging and fulfilling your hire.
• Legitimate interests - keeping records of enquiries and bookings, and understanding at a high level how our website is found and used, in a way that does not identify you.
• Legal obligation - retaining records where tax or accounting law requires it.

Who we share it with

Beyond that, we share personal data only with:

• Our email and IT providers, who host our inbox and business records.
• Cloudflare, which hosts this website and provides its security and analytics.
• Professional advisers or authorities, where we are legally required to disclose.

We do not sell your personal data, and we do not share it with advertisers.

Cookies and analytics

This site uses Cloudflare Web Analytics, which is deliberately privacy-first: it sets no cookies, does not use browser fingerprinting, and does not track you across other websites. It records aggregate information such as page views, country, referring site and device type. None of it identifies you individually.

Because no non-essential cookies are set, this site does not need to show you a cookie consent banner. Cloudflare also processes limited technical data, such as IP address, to route traffic and protect the site from attack.

International transfers

Some of our providers, including Cloudflare, operate globally and may process data outside the UK. Where that happens, transfers are protected by UK adequacy regulations or by standard contractual clauses with appropriate safeguards.

How long we keep it

• Enquiries that do not become bookings: up to 12 months, then deleted.
• Booking and correspondence records: up to 6 years, to meet UK tax and accounting requirements and to resolve any dispute.
• Analytics data: retained in aggregate by Cloudflare and never linked to you.

Your rights

Under UK GDPR you have the right to:

• Be told what personal data we hold about you, and get a copy of it.
• Have inaccurate data corrected.
• Have your data erased, where we have no continuing lawful reason to keep it.
• Restrict or object to how we use it, including objecting to processing based on legitimate interests.
• Receive your data in a portable, machine-readable format.
• Withdraw consent at any time, where we relied on consent.

Complaints

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the UK's supervisory authority, the Information Commissioner's Office, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

If we change how we handle personal data we will update this page and revise the date at the top. Material changes affecting existing customers will be communicated directly.
